How do I get my work to you?

You can send your digital, PDF, or draft document files via e-mail, FTP, or fax. Forward audio material to us by your preferred delivery method (FedEx, UPS, US Mail, etc.). Please complete and enclose our Project Submission Form with your work.

Do you offer same day turnaround?

For shorter dictation (1 hour or less), we offer 4 hours or less turnaround time. For a slightly higher fee, we are happy to accommodate our clients who require same day turnaround for longer projects. Send us your project, and we will turn it around as quickly as possible, while meeting our standards for producing high-quality work products.

How will I receive my work?
We will send your transcript to you via e-mail or upload the files to your FTP site. You may use your FTP site to access completed documents and/or upload new documents for completion.

I have heard a lot about metadata. What is metadata and why should I be worried?
Document metadata describes document attributes such as the title, author, content, location, and date of creation. Metadata can also include hidden information such as tracked changes, built-in documents properties, comments, smart tags, hyperlinks and footnotes. It can even include text that the user thinks has been deleted from a document, some of which may be privileged. Normally metadata is stored automatically with the document and can be viewed by anyone who obtains an electronic copy of the document.

When OS prepares your document, you do not have to worry because we utilize the latest software to help ensure that all unwanted metadata is removed automatically. We use the software to minimize the risk of violating data protection guidelines and disclosing sensitive and/or privileged information.

How can I be sure my e-mailed documents are secure?
Because we service the legal industry, we strive to meet governmental regulations pertaining to e-mail security. Our e-mail encryption program utilizes new Identity Based Encryption (IBE) key protection as well as industry standard Advanced Encryption Standard (AES). For our clients who opt to have their projects returned via e-mail, we encrypt all e-mail messages to which a completed project is attached, unless we receive specific instructions not to do so. E-mail encryption helps us to ensure the confidentiality of client projects.

What is FTP?
FTP (File Transfer Protocol) is the simplest and most secure way to exchange files over the Internet. It allows us to send and receive large files via the Internet in a fast, secure manner. We utilize FTP because it eliminates worry about file size and type as there is no size or type limitation. Open an account with us and we will set up your FTP site to house all of your OS files for a very reasonable annual fee.
